Administrative Roles
President
The President prepares for and presides over meetings, signs contracts, and oversees administrative functions. They work to resolve issues after consultation with appropriate Board members and coordinate suggested actions with Board in a timely manner (in many cases outside the course of Board meetings).
Vice President
The Vice President presides over meetings in President’s absence; assists in Board matters as needed; maintain inventory of player uniforms and coaches’ shirts; and formulates and leads the league’s sponsorship strategies and activities.
The Vice President (or their designee) also manages of the website (www.whcsports.org) content, including news items, scheduling updates, and general site maintenance. The Vice President also manages and updates social media, manages website administrators, and creates and manages additional web services as necessary.
Secretary
The Secretary records and publishes official minutes taken during monthly Board of Director meetings.
Treasurer
The Treasurer provides financial reports for monthly meeting, handles all accounting and disbursing responsibilities for the recreation and travel programs, reconciles accounts with Howard County Recreation and Parks (HCR&P) at the end of the fiscal year and provides all required documentation to WHCYBSL’s accounting firm regarding tax filings.
Field & Equipment Coordinator
The Field and Equipment Coordinator oversees all the activities related to the fields that we play on. Their responsibilities include:
maintaining inventory of field equipment;
ordering new equipment and/or making repairs of equipment as necessary;
stocking school and HCR&P fields with needed equipment and supplies (tape measures, hammers, etc.);
identifying fields that need repairs and work with Board of Education and HCR&P to get work done;
identifying and overseeing contractors to perform periodic field maintenance (grass mowing and dragging) on school fields as necessary during the season
Concesssions Coordinator
The Concessions Coordinator oversees all the activities related to the concessions stand at Western Regional Park. Their responsibilities include:
soliciting vendors for food, drinks, equipment, and children’s activities as needed.
handling all aspects of any fund-raising promotions
developing a plan for Board approval in the fall of each year to guide concession/event needs
organizing the volunteer workforce.
Baseball Roles
Director of Baseball
The Director of Baseball ensures that all aspects of the recreation and travel baseball programs operate properly. Their responsibilities include:
chairing the Baseball Committee;
updating all written material regarding baseball;
managing registration;
overseeing age group and travel baseball coordinators, including training;
aiding the selection of coaches, preparing for Coaches meeting;
managing any planned recreation baseball tournaments hosted by WHCYBSL;
purchasing trophies, planning Opening Day and All Star Games;
organizing coach and/or player clinics;
coordinating field usage needs and working with the Equipment/Field Coordinator to maintain an inventory of player equipment, ordering new player equipment or making repairs of equipment as necessary
Travel Baseball Coordinator (Renegades)
The Travel Baseball Coordinator oversee the operation of the travel baseball program (Renegades). Their responsibilities include:
setting up and publishing tryout dates and times;
recruiting and selection of coaching candidates;
meeting with coaches to plan season and cover rules;
handing financial matters regarding the travel baseball program;
coordinating field usage needs and identifying fields;
planning and implementing travel baseball tournaments hosted by WHCYBSL
Age Group Coordinator
(recreational baseball)
Due to the large number of players register for recreational baseball every year, it is necessary to subdivide the group into age groups to simplify management. Each age group has an Age Group Coordinator (AGC) that oversees the specific age group. The AGC duties include:
dividing registered players into teams;
identifying coaches for each team;
preparing practice and game schedules;
preparing equipment bags and uniforms for disbursement and restocking equipment as needed;
receiving equipment bags when they are returned at the end of the season;
preparing for Opening Day and All-Star Games activities;
collecting player evaluations at the end of the season
